Easy on boarding, easy import with Trace

In our last post where talked about the benefits of moving from traditional Data Protection regulatory compliance by “excel hell” to streamlined, efficient and consistent data management with Trace’s easy to use platform.

Since then we’ve had even more questions about how to transition from old compliance by checkbox and static document to easy maintain Privacy by Design with Trace.

Trace is an easy to start, turnkey solution: you can sign up today and get started with your data mapping, third party assurance, smart document creation and task management straight away.

So option 1 is to start a fresh for more accurate, streamlined, collaborative and joined up compliance. Or simply start if your compliance foundations and key artefacts like policies, contracts, inventories and plan are not in place.

However, perhaps you have a number of key documents (like your Records of Processing Activity (RoPA), or your inventory), which you would like to map in to Trace and upgrade your approach as option 2. That’s straight-forward too, and here’s how to import your existing RoPA into Trace:

  1. If you use excel or google sheets you can easily convert these files into .csv files

  2. Once you have converted your file to a csv, ensure it’s well formatted

  3. You’ll need to be logged in to your Trace app, here you can navigate to inventory view (see image)

  4. Select import icon

  5. Import your inventory csv file from your computer

  6. Map your document columns to the Trace sections, and complete import

  7. You’ll then see your work in your Trace app. Trace streamlines multiple processes for a richer, more accurate way to audit data. By addressing any gaps from your existing work, you’ll be able to see your personal, asset and data processor inventories together, alongside retention and data security.
